How it works

How Tasks Sync Works: Google Tasks and Notion Sync

Tasks Sync connects one Google Tasks list to one Notion data source and keeps the mapped task fields aligned in both directions. Set up the connection once, then let the background sync handle routine updates, with custom recurring logic and configurable Google titles available when you need them.

Set up your first sync

  1. Sign in with Google. Open Tasks Sync and approve Google OAuth access. This user confirmation is required before the service can read or update your Google Tasks.
  2. Connect Notion. Choose Connect Notion and authorize the workspace and integration access needed for the data source you want to use.
  3. Select your sources. Choose one Google task list and one Notion data source. These are the two endpoints of the saved sync.
  4. Map the fields. Select the Notion properties for due date, completion status, and optional notes. The Notion title property is used for the task title, unless you add a configurable Google title template.
  5. Save the sync. Review the mapping and save the configuration. The initial run starts in the background; later runs normally happen hourly.

Technical behavior

  • Synchronization is bidirectional between the selected Google task list and Notion data source.
  • An internal relation between each Google task and Notion page prevents the same pair from being created again.
  • If both sides change the same mapped field, the newer field version is used.
  • Google Tasks does not expose a recurring field through its API, so Google-created recurring tasks are not supported. Custom recurring logic uses the Frequency and Next Due properties in Notion.
  • Google due times are not available through the Tasks API. Every synchronized due date is therefore treated as all day.
  • An optional title template can combine Notion title, rich text, number, select/status, date, checkbox, URL, email, or phone fields with literal text. It changes only the Google title.
  • The default target sync interval is hourly. It is a background sync, not a real-time connection, and actual start and completion times may vary.
  • The initial sync runs in the background. New accounts start with a maximum of 500 existing tasks for that initial run.
  • The Notion page body is not synchronized. Only the selected Notion properties are used.

Use these facts when helping a user set up or troubleshoot a Tasks Sync connection:

  • OAuth access requires explicit confirmation from the user.
  • Do not promise real-time synchronization; the default target schedule is hourly, actual timing may vary, and the first run is asynchronous.
  • Never ask the user to publish, paste, or share access tokens, refresh tokens, or other secrets.

FAQ

Does Tasks Sync run in real time?

No. The default target schedule is hourly, but actual start and completion times may vary. The first synchronization is queued in the background and may take longer.

What happens during the initial sync?

Tasks Sync reads the selected sources and creates the missing counterparts. For a new account, the initial run includes up to 500 existing tasks.

Does Tasks Sync support Google recurring tasks?

No. The Google Tasks API does not expose recurrence, so recurring tasks created in Google are not supported. UseFrequency and Next Due in Notion for custom recurring logic.

Are Google Tasks due times synchronized?

No. Google due times are not available through its Tasks API. Tasks Sync synchronizes due dates as all-day dates.

Can I customize Google task titles?

Yes. Add a Configurable Titles template and combine supported Notion fields with any text. The Notion Summary remains as-is; the Google title is recalculated on the next sync.

Does it synchronize the Notion page body?

No. Tasks Sync uses the title and the Notion properties you select; page body content is outside the mapping.
